# BookIt Customer Survey: What We Found

BookItAutomated business meeting scheduling

##### *Summary*

LeanData BookIt is a Salesforce-native meeting scheduling solution used by revenue teams at mid-market and enterprise B2B companies. In this survey of BookIt customers, LeanData explores the scheduling challenges teams face, why customers choose BookIt over alternatives like Chili Piper and Calendly, and how they calculate ROI.

### What You Will Learn

- **Why scheduling friction costs more than most teams realize**, and which three problems B2B teams most often try to solve.
- **How BookIt compares to Chili Piper and Calendly**across the features revenue operations teams care about most.
- **The five reasons customers chose BookIt,**in their own words.
- **How fast BookIt delivers ROI**and the operational metrics teams track to measure it.
- **Common questions about BookIt**answered directly, including integration, setup, and competitor differences.

## **Why Teams Switch to BookIt for Scheduling**

Speed to lead is a revenue problem. Every minute a qualified prospect sits unscheduled with the right rep is a minute a competitor has to get there first. Yet a lot of B2B teams still run scheduling through manual processes, disconnected tools, or solutions that don’t connect to their Salesforce routing logic.

LeanData surveyed customers who use BookIt, our [meeting scheduling solutio](https://www.leandata.com/platform/scheduling/)
n built natively inside Salesforce.

The goal was to understand what problems they were trying to solve, what prompted them to switch from other tools, and how they know when BookIt is working.

Here’s what they told us.

#### Who Responded to the Survey

All respondents use LeanData for Orchestration and at least one BookIt product. The group reflects the full range of revenue operations roles:

- 31% RevOps
- 22% Marketing Operations
- 19% Salesforce Admin / Systems
- 11% Sales Operations
- 11% Marketing / Demand Generation
- 5% Sales Leadership

**74% of respondents were already using another scheduling solution before switching to BookIt.** Of those, 43% came from Chili Piper and 17% from Calendly.

## The Scheduling Problems Teams Are Trying to Solve

Respondents identified the primary challenges that drove them to look for an automated scheduling solution. Three stood out:

### 83 %

of businesses want to connect prospects to the right rep as quickly as possible

### 72 %

were focused on ensuring every lead or account is assigned to the correct rep

### 48 %

want to align with their customers’ buying preferences

[Speed to lead](https://www.leandata.com/platform/speed-to-lead/)
is the most urgent priority by a wide margin. Research consistently shows that B2B response time has an outsized effect on conversion. Inaccurate assignments compound the problem. A fast response to the wrong rep erodes buyer trust and wastes rep time. And when scheduling adds friction to the buyer experience, the effects show up in conversion rates further down the funnel.

> “The main value that BookIt has provided is the time-saving efficiency of working out of one tool rather than two. Additionally, BookIt allows us to use more complex routing than Chili Piper. Lastly, using BookIt has saved us money from tool consolidation, and with the constant feature updates, it has kept us from needing purchase other tools for things like SMS text reminders.”

## What Drives Teams to Search for a Different Solution

Most respondents weren’t evaluating [scheduling tools](https://www.leandata.com/blog/scheduling-software-for-b2b-sales-teams/)
from scratch. They were replacing something. Four themes explain why they started looking:

- **Too many tools to manage:** Organizations wanted to reduce the number of applications in their stack. Combining scheduling and routing under one contract cut administrative overhead and reduced the number of systems that could break or fall out of sync.
- **Dissatisfaction with previous scheduling provider:** Customers cited poor audit visibility, high costs, and maintenance burden. Chili Piper’s add-on pricing structure, where Handoff is sold as a separate product, was a consistent complaint. Several customers also noted that Chili Piper does not negotiate pricing based on company size, which created cost problems as their teams scaled.
- **Routing and scheduling were disconnected.**Teams wanted their scheduling logic to use the same routing rules already running in Salesforce, not a separate configuration maintained in a different system.
- **Budget pressure.**Having BookIt and LeanData Orchestration on a single contract gave finance teams a cleaner, more defensible cost structure.

## **The Five R**e**asons Customers Choose BookIt**

Survey respondents identified the same five reasons repeatedly when asked why they selected BookIt:

1. **Already using LeanData for Routing:** For most customers, BookIt was a natural extension of what they already had. Routing and scheduling logic share the same platform, so there’s no separate system to configure or reconcile.
2. **Tech stack consolidation:** Fewer tools, fewer contracts, fewer integrations to maintain.
3. **Salesforce-native:** Booking data, assignment records, and audit logs all live in Salesforce. No separate database, no sync delays.
4. **Audit logs and reporting:** The ability to see exactly where a lead went and why was the feature customers mentioned most when comparing BookIt to alternatives like Chili Piper and Calendly.
5. **No-code setup:** Ops teams build and update routing flows in a visual drag-and-drop interface without writing code.

> “The main benefit of Bookit has been the superior logic ability to present the right reps calendar. The logic is easy to understand and to edit. Chilipiper you had to build all logic filters separately for different forms, it was easy to get wrong and hard to troubleshoot why.”

## How Customers Measure ROI

ROI looks different for every team, but the most common metrics respondents track are:

- **Time Savings**: Administrative time saved on scheduling coordination and routing corrections.
- **Number of meetings booked:** Tracking the quantity of meetings booked and their downstream conversion rates.
- **Speed to lead:** Time from form submission to rep contact.
- **Funnel Conversion rates:** Analyzing lead-to-meeting, meeting-to-opportunity, and lead-to-closed-won conversion rates.
- **Accuracy:** Routing accuracy and reduction in misassigned leads

Show video transcript We’ve covered inbound scheduling and SLA enforcement, but BookIt isn’t just for that very first meeting. Let me show you two more critical scenarios. First, an SDR to AE handoff, and then second, a post sale life cycle management motion. Here’s the scenario. Your SDR, Jake is in the middle of a great discovery call with a prospect he’s been trying to nail down for weeks. They’re qualified and ready to speak to an account executive. Jake knows it’s best practice to schedule that meeting before hanging up with his prospect, so Jake just clicks on the BookIt handoff button. LeanData instantly sets the meeting type as an AE follow up call. It matches the lead to an existing account and identifies Rob as the account owner. We then pull up Rob’s live calendar availability directly from Google. Cal Jennifer says Monday morning will work best. We book the time, and the invite goes out from the account executive with options to reschedule or cancel, no post call coordination or follow up email done. Now here’s where it gets really powerful. What if Sarah and a Solution Consultant need to be in that next meeting? Well, with Handoff, Jake has immediate access to add those team members as well, and they can either be required or optional attendees. The calendar only shows slots where both team members are free, no more back and forth the prospect books a time that works for everyone. All right. Final scenario, let’s fast forward. Jake’s AE just closed the deal that lead Jake qualified is now a customer. So what happens next? Most companies drop the ball here the sales to implementation team. The handoff is manual, slow, but not for Catalyst Solutions, they’re automating the entire customer life cycle. First off, when an opportunity is won, the renewal opportunity and opportunity contact roles are created using LeanData’s opportunity FlowBuilder. Additionally, onboarding actions, notifications and SLAs are tracked against the deal to easily know their impact on performance. And finally, contact, or contacts that are identified as our primary installation team receive a welcome email from catalyst, in addition to helpful resources. The email contains a scheduling link. This link will be the kick off point for the next 12 months of the relationship. First impressions matter. The link is directed at onboarding individuals or pools dependent on product interest, pools allow Catalysts to utilize their onboarding resources most effectively as no one is assigned to the project until the customer books a meeting.

### Operational Results Customers Report

## Key Takeaways

- **Scheduling is a speed-to-lead problem first.**83% of respondents cited speed to lead as their primary motivation. Manual and disconnected scheduling slows pipeline.
- **Routing and scheduling belong together.**Teams that run both in the same platform report fewer errors, better assignment accuracy, and less administrative time spent troubleshooting.

- **ROI comes quickly.**78% of customers saved administrative time, and most saw measurable returns within weeks. The consistent pattern: ops teams focus on higher-value work when routine scheduling is automated.
- **Audit visibility is a real differentiator.**The ability to see exactly where a lead went and why was the feature customers cited most when explaining why they left Chili Piper.
- **Consolidation is a business decision, not just a technical one.**Having scheduling and orchestration under one contract reduces cost, reduces complexity, and gives ops teams a single source of truth.

## Frequently Asked Questions About LeanData BookIt

### How does LeanData BookIt integrate with Salesforce?

BookIt runs natively inside Salesforce rather than connecting to it via API. Booking data, routing logic, assignment records, and audit logs all live in Salesforce. Routing rules apply at the moment of form submission, with no sync delays or separate database to manage.

### What is the difference between BookIt for Forms, BookIt Handoff, and BookIt Links?

BookIt for Forms books meetings from web forms and chatbots at the moment a prospect submits. BookIt Handoff automates internal scheduling handoffs directly from Salesforce records, including Leads, Contacts, Accounts, Opportunities, and Cases. BookIt Links gives reps individual or group booking links to share across any channel.

### How does BookIt route prospects to the right sales rep?

BookIt uses LeanData’s FlowBuilder, a visual no-code routing engine, to match and assign prospects based on territory, account ownership, or custom business logic. Matching runs in real time at form submission, with 95%+ accuracy across any Salesforce object.

### Does BookIt require developer resources to set up?

No. Ops teams build and update routing flows using a drag-and-drop visual interface with no code required. LeanData Professional Services guides the initial implementation, and ongoing changes happen in the same visual interface.

### How does BookIt compare to Chili Piper?

The differences customers mention most: BookIt is Salesforce-native while Chili Piper requires a separate integration. BookIt includes routing and scheduling in one platform while Chili Piper treats Handoff as a separate, additional-cost product. And BookIt provides full audit logs with routing transparency, which customers consistently described as a gap in Chili Piper. BookIt also uses flat per-seat pricing while Chili Piper adds costs as you scale and does not negotiate pricing based on company size.

### How does BookIt compare to Calendly?

Calendly is a general-purpose scheduling tool that works well for individual scheduling. It does not include lead routing, Lead-to-Account matching, audit logs, or buying group orchestration. BookIt is purpose-built for B2B revenue teams that need scheduling to work with their Salesforce routing logic.

### What platforms does BookIt integrate with?

BookIt supports Salesforce and Microsoft Dynamics as CRM platforms. On the marketing automation side, it works with Marketo, HubSpot, Pardot, and Eloqua. It also connects with Zoom and Google Meet to auto-generate meeting links on calendar invites.
