# How Top SDR Teams Cut Lead-to-Meeting Time with AI Orchestration

AI GTMSalesVideo

**Summary**

This session comes from SDR Leaders Demo Day, where LeanData Solutions Consultant John Gomez shows how leading SDR teams shorten the gap between a lead and a booked meeting. Gomez walks through a live product demo covering lead routing, AI-generated outreach, and account-level signal tracking. The session is built for SDR leaders, RevOps teams, and marketing operations professionals who want to see [GTM orchestration](https://www.leandata.com/platform/orchestration/)
in action rather than in theory. The main takeaway: [speed to lead](https://www.leandata.com/platform/speed-to-lead/)
only helps revenue teams when the routing, context, and follow-up behind it are fully coordinated.

### About the Presenter

John Gomez, Solutions Consultant, LeanData John is a former quota-carrying SDR who now helps GTM teams design and demo lead routing and orchestration workflows at LeanData.

### What You’ll Learn

- How AI-generated form fills trigger instant lead routing and account matching directly inside Salesforce.
- How SDRs use AI to draft personalized email snippets, subject lines, and call openers based on prospect data.
- How LeanData Journeys gives SDRs a single view of account signals, so they can prioritize buying groups by activity instead of guesswork.
- How automated scheduling and handoffs remove manual back-and-forth between SDRs, solutions consultants, and prospects.
- How LeanData keeps every AI-driven action native to Salesforce, so routing stays auditable as teams scale.

## Beyond the Demo Form

The same pattern John Gomez demos on a demo request form applies anywhere a signal should trigger routing, outreach, or a booked meeting.

Use Case

Inbound web forms

Event and trade show leads

Re-engagement of cold accounts

Expansion and upsell signals

How the Flow Applies

A form fill is matched to an account and routed to the right rep before the prospect leaves the page.

A scanned badge or booth note routes to the account owner with full context, no manual entry required.

Journeys surfaces accounts with new activity after a period of silence, prompting the SDR to reach back out.

Buying group changes at an existing account route to the right rep instead of sitting unnoticed in a report.

The consistent thread is that a signal gets matched, routed, and actioned inside the same system, rather than depending on someone to notice it and pass it along manually.

**[0:06] Sam Nelson:** Welcome, everybody, to what I’m going to start calling the Pipeline Pantheon. This is where people come to see what’s new and innovative in the pipeline generation space, and there’s a lot of innovation happening right now. I’m excited to learn from some really cool companies in this space.

**[0:33]** For those joining for the first time, this is our Demo Day. Companies come on and demo. They’re allowed to demo, they’re allowed to pitch, and they can do whatever they want in their twenty minutes. It’s going to be great.

**[1:02]** I’m excited to have our leadoff session with LeanData. I’m sure a lot of you have heard of LeanData before. Over a thousand customers and five thousand users trust them, and they’re very well established. We’re excited to welcome them for their first Demo Day with us. Thank you, LeanData, for supporting the SDR leader community and for innovating in our space. Without further ado, I’ll let you take it from here.

**[1:30] John Gomez, Solutions Consultant, LeanData:** Thank you. Hello, everyone. I’m John Gomez, Solutions Consultant here at LeanData. Can everyone see my screen? Give me a thumbs up. Great.

**[1:46]** Today I’m going to talk about how top SDR teams cut the time from lead to meeting. Before I was a solutions consultant, I was an SDR hitting quota every single quarter. You can ask my previous SDR manager about that.

**[2:17]** LeanData is an intelligent orchestration layer for your AI go-to-market motion, serving as the connective tissue across your entire revenue cycle. We handle data quality, matching, routing, workflow automation, scheduling, SLA reporting, governance, and auditability.

**[2:36]** Let me get into the demo. What you’re looking at is Catalyst Solutions, a demo environment I built for our SDR team to use with prospects ranging from mid-market to enterprise. Think of Catalyst Solutions as a midsize B2B company that sells technology, talent, tools, and consulting.

**[3:07]** This is the demo request form, the same type of form you likely have on your own website: name, work email, company, title, company size, and product interest. I’m going to fill this out as a prospect would.

**[3:26]** First name Tom, last name Benton, email [tom@hpe.com](mailto:tom@hpe.com)
. I’ll skip the phone number and just enter a placeholder. Job title: AI engineer. Company size: 2,500 and above. For product interest, I’ll select full platform tour and request a demo.

**[4:07]** Within a couple of seconds, LeanData checks whether Tom already exists in our Salesforce instance, matches him to the right account, and identifies the account owner, which in this case is me. This is also LeanData’s scheduling tool. It’s a simple line of code added to Marketo or HubSpot, and from here the prospect can book their demo, add their team, and schedule the meeting.

**[4:54]** You might be wondering what this looks like on the Salesforce side. Here’s the Catalyst Solutions Salesforce instance. LeanData is native to Salesforce, so it shows up as another tab in your org. This is the lead graph, and it shows the routing and orchestration behind a prospect coming in for my SDR team.

**[5:21]** We see new leads coming in from our scheduling tool or from outbound motions. We use AI to read the form, then draft copy for outreach and sequencing, so the SDR understands who the prospect is and what they’re looking for. From there, you can update that copy, merge duplicate records, and route the lead based on the type of account. An enterprise account that wants full visibility of our solution goes directly to the account owner. A mid-market or commercial account can go into an SDR round robin, where the rep gathers more information to understand what the prospect wants to see. The system can also send automatic Slack notifications and add the prospect to a sequence.

**[6:43]** After the form is submitted, this is the AI node in action. There are a number of prompt actions here, but the goal is for the AI to read the entire form submission and generate an email snippet, a subject line, and call openers for outreach.

**[7:16]** In this case, Tom’s submission came from HPE. His title is AI engineer, his product interest is the full platform, and his company falls into the big tech industry with over 2,500 employees. Some of our customers also use AI inference nodes to standardize and normalize data, or to flag spam. It’s a powerful tool.

**[7:56]** From that submission, the AI generates an email snippet and subject line for outreach: “Hi Tom, thanks for booking time with us. Catalyst helps AI engineers automate manual data entry tasks so you can focus on model development. We’ll streamline your workflow to save you hours of engineering time each week. Looking forward to the call.” The subject line references HPE and Catalyst Solutions.

**[8:37]** If I have Tom on a call, I can also use AI to help surface specific challenges related to his role. For example: “Hi Tom, I see we have a meeting on the calendar in the next couple of days. I’m calling to hear about any specific challenges you’re hoping to solve so I can prepare.” None of this requires manual work. As an SDR, that means more time spent on quota-critical activities and less time drafting emails or manually adding people to sequences.

**[9:27]** For an SDR leader, this shows how a small team can operate like a larger one. Automation and AI make that possible, and this workflow supports orchestration and scheduling at scale.

**[9:54]** That covers the inbound side. Now let’s look at what an SDR does when they need to proactively find accounts and leads. This is Journeys, along with the AI assistant inside Journeys. Journeys isn’t about individual leads. It’s about an SDR’s full book of business, giving visibility into every account with activity in one place, so reps can be more strategic and act on signals as they come in.

**[10:33]** As SDR leaders, you likely have multiple signal sources: intent data, Demandbase, Clay, ZoomInfo, and more, feeding into your sales team. Without a central view, it’s hard to know where to focus. Some teams still track this manually in spreadsheets. Journeys consolidates that activity into one space and gives SDRs clear next steps.

**[11:21]** Here’s my current book of business, eight accounts I’m actively working. Let’s look at Meridian Financial Group, which had seven signals in the last twenty-four hours. It’s in a pre-opportunity stage, so my goal is to book a meeting for the account executive and start a sales cycle. Some of the target buying group roles have already been identified based on marketing activity like demo requests and content downloads. The next step here is to continue engaging, since the buying group is progressing well.

**[12:05]** This timeline shows signals as they come in. This is a newer account. I can see that Dana Whitmore is emerging as a champion, and other team members from Meridian, including Marcus, are also engaging with our website. As an SDR, I can use this to build out the buying group: identifying likely end users of the product, potential decision makers, and economic buyers such as the CFO. Reaching the economic buyer matters because pricing conversations ultimately go through them. This view visualizes every stakeholder who needs to be involved for the deal to close.

**[13:19]** This feed shows real-time signals. For example, Marcus submitted a demo request but did not complete the final submission step, so that lead is still in limbo. Meanwhile, Dana Whitmore attended a conference in San Diego and visited our booth. Since I already have Marcus on a call, I want to book a demo with him and his team right now.

**[14:18]** Looking at his contact record, I’ll use the scheduling tool, called Handoffs, to book a sixty-minute demo. Marcus wants to include additional team members, and since I own the account, I add myself. He also wants a solutions consultant on the call for a full demo, so I pull up my SC’s calendar. If there’s no availability that week, I can offer the following week. Once Marcus confirms a day and time, I send the invite immediately, and the meeting is booked.

**[15:20]** This shows the value of the tool: no juggling multiple calendars, and meetings get booked instantly. After the meeting is booked, the same lead graph handles outbound motions, arming SDRs with tools inside Outreach and Nooks sequences.

**[16:01]** In this case, Marcus is VP of Sales Operations at Meridian, with a product interest in the full platform and an industry classification of tech and financial services. All of this information comes directly from Salesforce, not manual entry.

**[16:38]** The system automatically sends a confirmation email: “Hi Marcus, thank you for the time on the phone today. I’m confirming our meeting is booked, and I’ve sent a calendar invite. As VP of Sales Operations, Catalyst helps you eliminate manual bottlenecks in your lead routing so your team can focus entirely on closing deals. We’ll use our time together to map out how to streamline your current pipeline orchestration. Looking forward to speaking with you.” The subject line references Meridian and Catalyst Solutions.

**[17:12]** As an SDR, I don’t have to write any of that. The task is already done, and I can move on to opening the opportunity, confirming everything is aligned, and sending Slack notifications to myself and the account executive while outreach sequences run automatically.

**[17:36]** Once that’s complete, the SDR opens the opportunity and links the Journeys record to the opportunity object in Salesforce. Nothing here is manual. Everything supports focus on my book of business.

**[18:03]** One more thing I want to show is how SDRs can have conversations directly with LeanData’s AI. For example, in Journeys, I can look at an account like Topaz Lounge that hasn’t had activity in forty-six days. I can ask the AI assistant what steps I should take to re-engage that account.

**[18:54] Sam Nelson:** John, we’re about out of time. Do you want to wrap up, and we can follow up with anyone afterward?

**[19:02] John Gomez:** Sure. As you can see, SDRs can have ongoing conversations with AI to better prioritize and re-engage prospects.

**[19:14]** Before I close, our conference, Offstage, is coming up October 5th and 6th. You can register for that, and I’ll be demoing there all day. Thank you very much. My name is John Gomez, former SDR, now Solutions Consultant. Thanks, and have a great day.

## Frequently Asked Questions

### What is LeanData Journeys, and how does it help SDRs prioritize accounts?

Journeys gives each SDR a consolidated view of their book of business, surfacing account-level signals such as demo requests, website visits, and buying group activity. Instead of checking multiple tools, SDRs see next-best-action guidance in one place and can focus on accounts showing the strongest engagement.

### How does LeanData’s AI node generate personalized outreach content?

The AI node reads form fill data, including job title, company size, and stated interest, then generates a tailored email snippet, subject line, and call opener. SDRs can drop this content directly into their outreach or sales engagement sequences without writing it from scratch.

### Can LeanData’s scheduling tool coordinate meetings across multiple team members?

Yes. The scheduling tool, called Handoffs, checks calendar availability across the SDR and any additional team members, such as a solutions consultant, and books a meeting time that works for everyone automatically.
