How Meltwater Monetized Untapped Intent Signals and Drove Global GTM Alignment

Overview

Meltwater transformed its go-to-market engine by tackling a disconnected lead-to-account framework that left valuable intent signals untouched and slowed deal cycles. By implementing LeanData’s intelligent orchestration platform, Meltwater automated its complex routing to ensure every lead reached the right rep instantly. The addition of LeanData’s BookIt solution allowed high-intent prospects to schedule meetings immediately, virtually eliminating follow-up friction. The results were transformative: Meltwater successfully monetized a previously ignored data stream of 1,200 contacts, drastically reduced its lead-to-deal time, and improved CRM data integrity by merging over 6,000 leads and assigning 3,800 accounts.

Introduction

Meltwater provides an intelligence platform that helps companies track, analyze, and measure perception across media, social, and AI channels so leaders can make more informed decisions. As they scaled, their Revenue Operations team faced the pressure of supporting a complex, global sales organization with localized needs. Abigail Vickers, Revenue Operations Manager, was tasked with building an automated infrastructure that could align sales teams, improve data trust, and ensure no revenue opportunity slipped through the cracks.

The Challenge: Disconnected Leads, Missed Growth

Before implementing intelligent orchestration, Meltwater’s GTM motion was hindered by manual interventions and fragmented processes. The disconnect between lead and account management created significant operational friction.

  • Inconsistent Routing & Manual Handoffs: Relying on manual routing led to human error. High-value enterprise leads were often misrouted to local representatives instead of the correct global account owners, confusing the buyer and delaying engagement.
  • Slow Response Times: The traditional “contact us” flow created a lag between interest and action. The back-and-forth required to schedule a meeting slowed momentum, resulting in a poor prospect experience and lower conversion rates.
  • Missed Revenue Opportunities: Perhaps the most critical gap was the inability to handle “floating” intent data. Valuable buying signals; such as contacts identified by UserGems, were attached to unowned accounts and often went unactioned because there was no automated logic to route them to a dedicated team.
  • Poor Data Hygiene: Duplicate accounts and inconsistent ownership data eroded trust in the CRM. Sales reps were hesitant to rely on the system, leading to further data degradation.
“LeanData really helped us to create that automation… creating a global solution while still keeping those localized rules in place and it really generated a lot of trust from sales.”

The Solution: Intelligent Orchestration and Automated Scheduling

Meltwater chose LeanData to centralize its lead and account orchestration, moving from a manual, reactive model to a proactive, automated engine. The solution focused on three key pillars: precision routing, automated scheduling, and intent monetization.

  • Automated Account-Based Routing: Meltwater configured LeanData to automatically match and route all inbound leads and contacts based on complex CRM ownership and territory rules. This ensured that a high-value prospect was immediately connected with the designated account owner, regardless of region, eliminating the “local vs. global” routing errors.
  • Instant Engagement with Automated Meeting Scheduling: To solve the speed-to-lead challenge, Meltwater implemented BookIt. Now, when high-intent prospects submit a form, they can instantly book a meeting directly on the right rep’s calendar. This removed the friction of manual follow-up and reduced the time to engagement to seconds.
  • Monetizing Untapped Intent: For unowned accounts, Meltwater designed a sophisticated round-robin system within LeanData. This workflow captured “floating” contacts from UserGems and automatically routed them to a specialized sales team. This turned a previously ignored data stream into active pipeline.
  • Real-time Visibility & Accountability: To drive adoption and accountability, the team set up territory-based Slack alerts. Sales leaders are now notified of routing activity in real time. This transparency not only ensures leads are worked promptly but also incentivizes reps to maintain clean data, as they know accurate ownership is the key to receiving inbound volume.
“The big advantage of using BookIt is that follow-up to the prospect is essentially zero. They fill out the form, immediately see a calendar, and pick a time that works for them, which is a game changer for us.”

Results

  • Drastic reduction in lead-to-deal time: With BookIt in place, Meltwater saw the time from inbound interest to booked meeting shrink dramatically, with MQL-to-SQL conversion moving ~75% faster. For high-intent leads, BookIt allows prospects to instantly schedule with the appropriate rep, erasing back-and-forth communications and reducing response time from days or hours to just seconds.
  • 1,200 previously unassigned contacts from UserGems successfully routed to sales, monetizing a new data stream: Before LeanData, these “floating” contacts – often valuable ex-users showing renewed intent – were routinely overlooked because there was no systematic way to assign them. By automating their routing to a specialized team, Meltwater turned unclaimed signals into new pipeline opportunities, unlocking incremental revenue that would have otherwise remained hidden.
  • 6,000+ leads merged and 3,800 accounts properly assigned, significantly improving CRM data hygiene: With LeanData’s advanced matching and assignment logic, Meltwater eliminated duplicate records, correctly linked leads to accounts, and ensured that ownership was always clear. This not only empowered sales with better insights and reporting, but also boosted confidence in the CRM as a reliable, single source of truth.
  • Zero-friction follow-up achieved for high-intent inbound leads: By removing manual scheduling from the process, the team enabled an immediate transition from interest to conversation. Prospects could secure a meeting directly after submitting a form, and sales reps were notified in real time, meaning no delay or loss of momentum. This seamless experience helped buyers feel heard and accelerated Meltwater’s speed to engagement.
  • Increased accountability through real-time Slack notifications that enforce SLAs and data standards: Meltwater’s deployment of territory-based Slack alerts meant that every routed lead was visible not only to its assigned rep, but also to managers and supporting teams. This transparency fostered swift action and created a culture of accountability – underperforming SLAs could be quickly addressed, and data hygiene became a shared responsibility.
